If you are about to open a cafe, kopitiam or mamak in Johor Bahru, you have probably typed “F&B supplier JB” into Google more than once. Finding a supplier is the easy part. Getting your first stock order right is harder, because you are guessing demand before a single customer walks in. Order too little and you run out of Milo in week one. Order too much and cash sits on your shelves while rent is due.
This checklist walks new outlet owners through planning a first order with an F&B supplier in JB: what to stock for your type of outlet, how to size the order, and what to ask before you commit.
Why your first order deserves extra planning
An established outlet reorders from habit. It knows how many cartons of evaporated milk it uses each week and which day the rush comes. A new outlet has none of that history yet.
That makes the first month a learning period. The goal of your opening order is not to get the quantities perfect. It is to avoid running out of the items that define your menu, while keeping enough cash free to adjust once you see real sales.
Start with your menu, not a product list
The quickest way to build a first order is to go through your menu line by line and write down every ingredient that comes from a supplier. Group them by outlet type below as a starting point.
Kopitiam and coffee shop
Drinks drive most kopitiam sales, so the core items are beverage and dairy:
- Nescafe Classic Refill Pack (12 x 500g) or Nescafe White Coffee (16 x 1kg)
- Milo Activ-Go Softpack (6 x 3.5kg) for hot and iced Milo
- Teapot SBC (48 x 500g) or Teapot Pouch SBC (8 x 2.5kg) for kopi and teh
- Teapot Evap Creamer (48 x 390g) for kopi C and teh C
- Gula Pasir (24 x 1kg) for counter use
Cafe
Cafes often serve a mix of coffee, chocolate drinks and simple food:
- Nescafe Classic STP MP (480 x 2g) single-serve sticks for takeaway or office orders
- Milo Original Can (24 x 240ml) and Ice Mountain (600ml x 24) for grab-and-go fridges
- Tepung Anchor (10 x 1kg) if you bake small batches in-house
- Gula Halus (PXX) (50kg) or Gula Pasir in 1kg packs, depending on how much you bake
Mamak and roti stall
Mamaks need volume. Larger packs usually make more sense here:
- Wheat flour in 25kg sacks, such as Tepung Blue Key or the Horse range
- Teapot or Carnation evaporated milk and Teapot condensed milk for teh tarik
- Milo Activ-Go Softpack and Nescafe softpacks or refill packs
- Gula Pasir (P1) (50kg)
- Rice such as Carnation Apple Gold (10kg) if you serve nasi dishes
Restaurant and zi char kitchen
Cooking stock and sauces matter most here:
- Maggi Chicken Stock (8 x 1kg) or Chef’s Master Stock (6 x 1.2kg)
- Maggi Seasoning (6 x 800ml) and Maggi Oyster Flavoured Sauce (12 x 1.5kg)
- Rice and glutinous rice in 10kg bags
- Ombak Mineral Water (64 x 500ml) for front of house
You can see every item and pack size on our products page.
How to size your opening stock
You do not need a complicated formula. A simple four-step method works for most new outlets:
- Estimate daily servings. For each menu item, make a conservative guess of how many you expect to sell per day in the first weeks.
- Turn servings into stock. Work out how much of each ingredient one serving uses, then multiply by your daily estimate.
- Cover the gap to your next delivery. Multiply daily use by the number of days until your supplier can deliver again, then add a small buffer for a busy weekend.
- Check your storage space. Make sure the order fits in a cool, dry area off the floor. If it does not fit, it is too big for now.
After two to four weeks, compare what you ordered against what you actually used. That real data becomes the base for every order after.
F&B supplier JB checklist: questions to ask before your first order
Before you place your opening order, ask your supplier these questions. The answers tell you a lot about how the partnership will work day to day.
- Do you deliver to my area, and on which days? This decides how much buffer stock you need.
- Can I get a price list for my items? Compare cost per kilogram or per serving, not just per carton.
- Can I mix brands and categories in one order? One order for drinks, dairy, dry goods and sauces saves time.
- Which pack sizes do you carry? A 2.5kg pouch and a 500g can suit very different volumes.
- Who do I contact for urgent top-ups? You want a name and a WhatsApp number, not a general inbox.
- How do I place repeat orders? A simple WhatsApp list is often the fastest way once you know your regular items.
Common first-order mistakes
- Buying retail packs. Supermarket tins and small bags cost more per serving than catering packs.
- Stocking too many brands. Pick one brand per item at the start. It keeps taste consistent and ordering simple.
- Over-ordering slow items. Specialty products can wait until you see what sells.
- Forgetting the basics. Mineral water, sugar for the counter and spare condensed milk are easy to miss when you focus on the menu.
- No storage plan. Sacks on a damp floor or cartons next to a stove lead to waste.
